Position Title: Coordinator
Reports To: Board of Directors
Location: Anywhere within the MRC Pontiac or Municipality of Pontiac
Type: 6 month contract (up to 15 hours per week)
Compensation: $20 per hour
About the Pontiac Chamber of Commerce: The Pontiac Chamber of Commerce is dedicated to fostering a thriving business community within the MRC Pontiac. We support local businesses through networking events, advocacy, and resource sharing.
Position Summary: We are seeking a dynamic and organized Coordinator to join our team on a part-time basis. The ideal candidate will excel in event management and administrative support activities to provide essential support to the Board of Directors. This role is pivotal in ensuring the smooth operation of Chamber activities and promoting the interests of our members.
Key Responsibilities:
Event Management:
- Plan, coordinate, and execute Chamber events, with an expectation of one event per month for the duration of the contract. The largest event will be our annual fundraising Gala in January.
- Coordinate event logistics, including venue selection, vendor negotiations, and budget oversight.
- Execute promotional strategies to maximize attendance and engagement. Handle event registration, attendee communication, and on-site event management.
- Evaluate event success and gather feedback for continuous improvement.
General Administrative Duties:
- Provide administrative support, including scheduling, correspondence, and document management.
- Check mail and forward correspondence to the appropriate person. Perform other duties as assigned by the Board of Directors.
- Submit timesheets with an itemized breakdown of activities for review and approval.
Membership & Partnership Duties:
- Contact existing & prospective members to coordinate new signatures, renewals Coordinate communications with corporate sponsors and partners in order to assist in partner solicitation & enrolment
- Assist in solicitation efforts in order to increase membership
Qualifications:
- Assist in corporate partnership application and submission process
- Tracking of progress & membership registrations
- Proven experience in event planning and management. Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities
- Proficiency in Microsoft Office Suite and social media platforms. Bilingualism (English and French) is required.
